MDS is grateful for your support of the International Congress of Parkinson’s Disease and Movement Disorders®. Please review this information related to sponsorships and exhibits, including important deadlines. The information included here will be updated as needed, and additional links and documents will be added as well as noted in regular communications sent via email to the primary contacts you've listed.

We expect that there will be specific questions that may not be covered by the information available here, and we encourage you to contact us with those questions. Your support is critical to making the International Congress a success, and we look forward to working with you.

2025 Deadlines

The commitment deadline for support of the International Congress is August 4, 2025.* 

Observation of the deadlines guarantees the best possible service. To ensure a successful participation at the MDS International Congress, we will not be able to deviate from these deadlines. These are only deadlines for MDS. Additional show information and decorator deadlines will be outlined in the Exhibitor Manual Kit and Sponsored Sessions Manuals. 

  • At time of commitment - Company logo, URL, and primary contact info due via the reservation form
  • June 6, 2025 - Preliminary Program ads due
  • June 18, 2025 - Hotel door drops due to MDS for approval
  • June 25, 2025 - CTS/Innovation Showcase session title, brief description, and speaker names due
  • July 18, 2025 - Final Program ads due
  • July 18, 2025 - Charging Station and Charging Lounge materials due to MDS for approval
  • July 18, 2025 - Congress-at-a-Glance ads due
  • July 23, 2025 - Exhibitor custom build renderings/drawings due

Please include Company Name and Deliverable Name in the file title. 

Please make sure to specify which assets you are submitting and any relevant info. (ex. Daily Congress Asset 1 named ABCD is for October 5; Asset 2 named EFGH is for October 6).

Program Ads
Preliminary Program Ads due June 6, 2025
Final Program Ads due July 18, 2025

The Preliminary Program will be available as a digital PDF flipbook on the Congress website.

The Final Program will be printed for onsite use as well as available as an interactive PDF flipbook on the Congress website, making for a more engaging navigation experience through hyperlinked sponsor ads.

Program ad specs

All advertisements must be provided in an electronic file format. The Final Program will be letter size (8.5” x 11”).

Formatting

  • Please submit a high-resolution CMYK PDF.
  • Include all fonts used in all pages, illustrations, images, logos and artwork. Supply all images separately with original support files and link to document; do not embed files without support supplied
  • All images should be in CMYK mode
  • Four-color process: Minimum resolution is 300 dpi at 100%
  • Bleeds:
    • Build pages to trim size and extend bleed beyond page edge, allowing a bleed of 0.125” on all sides of the final trim size
    • Background photos and graphics can bleed, but it is recommended to keep type at least 0.5” from the trim edge
    • Include bleed and cropmarks if submitting a Full-page ad 
  • Two-page spread: Supply as two individual page documents
  • All Illustrator files must be converted to outlines

Full page:  7.5” w x 10” h (19.05 cm w x 25.4 cm h)

Program Ads with Video
Due September 19, 2025

If you have purchased the enhanced video add-on, you will need to provide a second version of your ad for the highly viewed interactive PDF.

Video program ad specs

Embedded Videos

  • Videos can be embedded onto pages within the program.
  • Videos must be submitted as either a YouTube or Vimeo video link.
    • MDS will not upload these videos, so videos must be uploaded by the submitting company and link to the video provided to MDS.
  • Videos can either be Inline or PopUp (the video can be a static part of the page, or it can open up a pop-up window). A preview image will be auto-generated (only Popup videos can deselect the preview image)
  • We can start the video at certain portions of a video if desired (ie. 10 seconds into the video if there is an intro screen)
  • Program ads must identify the location the video should be added to, if not integrated into the static ad image.

URLs - URL addresses can be added in. Additionally, we can create the link to return to a specific page within the program if desired.

eNewsletter banner ads are placed within daily event update emails, which relay important details in advance of and throughout the meeting — making them a primary source of day-to-day information for onsite delegates.

App Ads

A clickable, single-day banner ad will appear in the mobile app to promote your company.

A clickable, single-day banner ad will appear in the mobile app to promote your company or organization’s brand, product, service, sponsored session, virtual exhibit or other initiative.   

  • 960 px wide x 225 px high
  • PNG or JPEG file type
  • Maximum file size: 1 MB
  • You may provide one URL link per ad submission. Include your selected URL when you submit your ad

 

Info Wall Ads

Feature your ads on a central, high-traffic will displaying key information about the International Congress.

Info Wall Advertisement Specs

The Info Wall will feature multiple large television screens in a central, high-traffic location, display information about the International Congress, including schedule highlights, event details, and more. You can promote a sponsored session, exhibit, brand, product or service via rotating static advertisements.

This brochure-sized, handheld guide contains key information about the International Congress at a glance.

This brochure-sized, handheld guide contains key information about the International Congress at a glance, including a schedule, exhibitor listing and map with hours, evening event details, and more. Offered onsite to all International Congress delegates, the booklet will also include full-page sponsor/exhibitor ads, which may be used to call attention to a sponsored session, exhibit, brand, product or service.

Commitment deadline: June 18, 2025.
Deadline to submit ads: July 18, 2025.

Congress-at-a-Glance Booklet (4”x8”) Ad specs: 

  • High Resolution CMYK PDF file  
  • Trim Size = 4” x 8”  
  • Type Area = 3.25” x 7.25”  
  • Background photos and graphics can bleed, but we recommend to keep all type at least 0.375” from the trim edge  
  • Bleed Size = 4.125” x 8.125”  
  • Please add a bleed of 0.125” to add sides of the final trim size  

 

City Map

Hotel Room Door Drops
Due to MDS for review: Date TBD

Have a printed piece delivered to delegates’ hotel room doors at an official International Congress hotel.

Hotel Room Door Drop Specs

Invite International Congress delegates to your exhibit or sponsored session, or build brand awareness by having a printed piece delivered to delegate hotel room doors at an International Congress hotel. Collateral must be approved by MDS prior to printing. One drop will be made daily and will include pieces from up to four companies per day.

Sponsors are responsible for printing and shipping inserts to the venue in Philadelphia.

Door Drop Ad Specifications

  • Single piece only (this can be a postcards, single sheet, booklet, brochure, etc.)
  • Format, content, and layout are up to the sponsor
  • Maximum dimensions: 8 ½ x 11 inches; no more than ten sheets/pages; double-sided printing allowed
  • Quantity: 900

Approval requred before printing. Digital proof (PDF or photo) must be submitted via Submission Form and approved by MDS prior to printing. Once MDS has approved the submission, companies may move forward with printing.

Printing/Shipping is the responsibility of the company, and materials must be delivered onsite in Philadelphia, PA, USA by Monday, September 23, 2024.

Booth Selection Process

Exhibitors make their booth location choice beginning in descending Sponsor Level order (i.e. Diamond Sponsors first, then Platinum, then Gold, etc.), factoring in total spend within Sponsor Level as well as commitment date and booth size, if needed.

MDS will reach out to your company's primary contact via email when your booth selection window opens. You will have a 48-hour window (sans weekends and holidays) to indicate your top three (3) location choices before it opens to the next exhibitor. This email will include a link to the floor plan, which will show numbered spaces and the names and locations of any companies that have chosen their location.

Non-Profit tables will be assigned based on commitment date.

The floor plan is subject to revision at the discretion of MDS.

Meeting Rooms & Ancillary Events
 

Checklist 

  • Complete an event application for each individual event. 

Reserve additional meeting space at the International Congress venue.

Permission is required for all ancilliary events during the International Congress. Complete a separate application for each individual event. Meeting space in the Hawaii Convention Center or on the Exhibit Hall floor may only be reserved by companies sponsoring the Congress. Non-sponsors must also complete the application, and may to be directed to hotels nearby.
